Privacy Policy
Last updated: October 22, 2026
Underbite ("Underbite", "we", "us") provides veterinary dental charting software at underbite.app. This policy explains what information we collect, how we use it, and the choices you have. By using Underbite you agree to this policy. Underbite is operated from, and currently only supports payment and usage in, the United States.
Information we collect
- Account information: your email address, your password (stored only in hashed form), and your clinic's name, address, state, zip code and optional logo.
- Charting data you enter: patient (pet) names, species and sex, client (owner) first and last names, doctor names, and the dental charts and notes you create.
- Payment information: payments are handled by PayPal. We receive a subscription identifier and status, but we do not receive or store your card number or full payment details.
- Messages and emails: the name, email address and message you send through our contact form, and the service emails we send you (such as email confirmation and password reset).
- Technical information: a session cookie and browser session storage that keep you signed in and show times in your time zone. Our servers may also log your IP address and request details for security and troubleshooting.
- Live demo: anything you enter in the live demo is held temporarily for your browsing session only. It is not saved to an account.
How we use information
We use your information to provide and maintain Underbite, create your charts and PDFs, manage your subscription, send service-related emails, respond to your questions, keep the service secure, and comply with the law.
We do not sell your data
We do not sell or rent your personal information, and we do not share it with anyone for their own marketing or advertising. If that ever changes, we will update this policy and notify account holders first.
Who we share information with
We share information only with service providers that help us run Underbite, and only as needed to provide the service:
- PayPal, to process payments and manage subscriptions.
- Our email and hosting providers, to deliver email and run the service.
- Third-party content in your browser: pages load fonts from Google Fonts and code libraries from jsDelivr and cdnjs. These providers can see your IP address and browser details when your browser requests that content.
We may also disclose information if required by law or to protect our rights, safety or the security of the service, or as part of a merger, sale or transfer of our business, in which case this policy will continue to apply to your information.
Your clinic's client and patient data
If you use Underbite for your clinic, you decide what client and patient information to enter. You are responsible for having the right to enter it and for following the laws that apply to your practice's records. We process that information only to provide Underbite to you.
Cookies
We use a session cookie and browser session storage because the service needs them to work. We do not use advertising or analytics cookies.
Retention and deletion
We keep your information while your account is active and as needed to provide the service. You can ask us to close your account and delete your information at any time. Some information may remain in backups for a limited time, or be kept longer where the law requires (for example, billing records).
Security
We use reasonable measures to protect your information, including encrypted connections and hashed passwords. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights
You can ask to access, correct or delete your information by contacting us. Residents of some states, including California, have additional rights, such as the right to know, correct and delete their information and to opt out of its sale or sharing. Because we do not sell or share personal information, there is nothing to opt out of, and we will still honor your other requests.
Children
Underbite is a business tool for veterinary professionals and is not directed to children under 13. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. We will change the date above, and for significant changes we will notify account holders.
